Special Notes:

  • If the Outlook Task/Appointment Contacts are entered as free text, ClayStation will use the first Outlook Contact it finds that matches the name.
  • If the Contact does not exist in Outlook, or it exists but is not stored in the Contact folder configured for ClayStation, ClayStation will not synchronize or add this Task Contact.
  • If the Contact exists in Outlook but not in Digital-Clay, ClayStation will ask the user whether to import it
  • Other Digital-Clay fields may be inserted into the Outlook Body field if necessary. See Item Synchronization for details.


Other Special Behaviour

  • For details on Recurring Appointments, see Outlook Recurring Appointments.
  • Only Digital-Clay Tasks assigned to the user will be added to the user's Outlook.


  • Outlook Task categories are not synchronized with Digital-Clay since they are usually personal categories and used as tags for the Task rather than corporate categories.
  • Outlook Appointments may be assigned a default Digital-Clay Task Category when added to Digital-Clay. This is configured in the ClayStation Tools/Options/Tasks tab.
  • Digital-Clay Tasks are added to either the Outlook Appointment folder or the Outlook Task folder depending on their Task Categories and the settings in the ClayStation Tools/Options/Tasks tab.


  • Digital-Clay Tasks linked to Outlook Appointments are automatically set to Closed when the Outlook Appointment end time has passed. This background timer can be adjusted in ClayStation Tools/Options/Tasks tab.
  • The above can be overriden or manually confirmed by checking “Confirm Closing of Appointments” setting. This will pop up a window with a list of Appointments that are about to be closed. This allows users to confirm that the Task was indeed completed.


  • Shared Outlook meetings are handled like Outlook Appointments, and one Digital-Clay Task is added for every user that is invited to the meeting as long as he is running ClayStation for Outlook.
  • If the shared meeting is still tentative and has not been responded to, ClayStation by default ignores it until it has been handled by the user. This behaviour can be changed ClayStation Tools/Options/Tasks tab.


  • If an Outlook Task/Appointment is deleted, the Digital-Clay Task is set to Abandoned.
  • If a Digital-Clay Task is deleted, set to Abandoned, or reassigned to a different user, the Outlook Task will be deleted.
