Document Types

'Document Types' is a special system table in Digital-Clay that is managed via the ClayStudio Data menu, and which has several uses:

  • A 'category' table for categorizing attachments and documents. Attachments may be sorted or filtered by their Document Type in attachment lists and in the Document Repository.
  • Security permissions: Individual attachments may be given special permissions based on their Document Type. For example, all attachments may be made viewable by all except “Credit Card Statements”. See Security for more details.

  • When generating Documents from Document Templates and Auto-Attaching Documents and E-Mails, the attachment can automatically be assigned a Document Type. This is done by selecting the Document Type when generating a Template in the Document Template Builder.
  • Sequential Document numbers: For example, invoices that need to use a unique sequential number every time an invoice (document) is generated. To make this work, you must add a 'Sequential Number' field to the Template in the Document Template Builder, and then select a Document Type when generating the Template. Some notes regarding this feature:
    • Sequential numbers are stored and tracked in the ClayCentral database.
    • This feature only works while working online with ClayCentral.
    • Sequential numbers are stored PER record. E.g. for every record for which an invoice is generated, its invoice number is stored in the database so that if the invoice is re-generated for the same record, the same number is used.
